Job purpose
The Bid Assistant role reports into the Bid Manager and is ideal for an energetic, driven, and focused individual with the ability to establish relationships and trust quickly.
This role will suit someone with excellent attention to detail and who is able to manage a task-based workload with accuracy. You will be working collaboratively with colleagues to develop compelling bid and tender content that accurately showcases the firm’s offering.
The role will operate a hybrid model offering a mix of office-based and remote working.
The team
This role sits within the Business Development Department, led by the Head of Business Development. The team are a closely knit, hardworking team dealing with a full range of activities including bids, tenders and pitches, client development, client experience, cross-selling, market research, BD planning, business development activities by service and sector and BD and client reporting.
The team works closely with the Marketing Department led by the Head of Marketing. This team deals with PR and communications, website and social media, events and webinar delivery, brand development and messaging, awards and oversees the firm’s corporate social responsibility programme.
Duties and responsibilities
This is not an exhaustive list and from time to time, it may be necessary to vary these to meet the department and business needs.
- Source, identify and circulate potential tender opportunities for relevant practice areas and share with the Bid Manager for review;
- Manage specific bid deliverables and associated deadlines, with oversight from the Bid Manager;
- Manage and submit tenders on the tender portals;
- Log upcoming tenders;
- Collate non-technical responses using existing collateral to draft responses where possible;
- Manage input on content and fees from practice area experts across the Firm, including partners, Knowledge Development Lawyers, and business support teams;
- Coordinate contract review and other compliance checks;
- Collate feedback on wins and losses;
- Maintain an up-to-date library of precedent text, ensuring final submissions are filed away correctly, post submission;
- Source past tender submissions.
Person specification
- Previous bid experience is desirable; ideally 1-2 years of experience and preferably within a professional services firm;
- Experience of working within a Marketing and BD environment is required, ideally within a professional services firm;
- A minimum of five 9-4 grades at GCSE or equivalent, including grade 6 in Maths and English;
- A relevant university degree or equivalent work experience is desirable;
- Previous bid writing experience is desirable;
- Attention to detail to produce work which is consistently of a high standard;
- Good time management skills with the ability to prioritise workload;
- Has a flexible can-do approach;
- Be keen to identify opportunities for process improvement, efficiency and promoting best practice;
- Must enjoy working as part of a team and independently;
- Possess excellent communication skills both written and verbal;
- Willingness to excel within a professional services environment and keen to learn.
