Job purpose
To provide comprehensive administrative and business development support to the firm, based in the Birmingham office, including assistance with reception duties.
The role will operate a hybrid model offering a mix of office-based and remote working.
The team
This role sits within the Business Development Department, led by the Head of Business Development. The team are a closely knit, hardworking team dealing with a full range of activities including bids, tenders and pitches, client development, client experience, cross-selling, market research, BD planning, business development activities by service and sector and BD and client reporting.
The team works closely with the Marketing Department led by the Head of Marketing. This team deals with PR and communications, website and social media, events and webinar delivery, brand development and messaging, awards and oversees the firm’s corporate social responsibility programme.
Duties and responsibilities
This is not an exhaustive list and from time to time, it may be necessary to vary these to meet the department and business needs.
- Providing administrative support to the Chief Marketing Officer, Head of Business Development (BD) and Senior BD Executives;
- Supporting BD Executives in delivering key conferences with admin support and co-ordination of BD activities in the Birmingham office. This will include confirming venue bookings and equipment/catering requirements, collating invite and RSVP lists and approvals, conducting research into attendees for circulation to Partners, capturing and following up on BD pipelines of new business leads generated and agreed follow up actions by individual Partners/fee earners and generally;
- Co-ordinating key conference planners to capture all sessions, fringe events, Partner meetings, networking events and other opportunities in the Birmingham office;
- Capturing and tracking follow up actions following Partner/fee-earner/BD attendance at Devonshires events and external conferences and events;
- Researching into target sectors, target companies, industry bodies, memberships, external conferences and speaker opportunities to support BD campaigns and activities for areas of strategic focus;
- Working alongside the Marketing Assistant to ensure the smooth delivery of marketing and BD events, projects and initiatives – with a focus on marketing events being held in Birmingham office and externally in the Midlands region;
- Working with the Marketing Team to ensure the BD elements of firmwide and service/sector thought leadership campaigns are delivered;
- Maintaining the BD areas of the Firm's intranet;
- Internal comms for BD successes and initiatives;
- Co-ordinate internal BD meetings and invitations and support the preparation of agendas, meeting notes and supporting documents;
- Processing BD invoices and tracking against MBD budgets;
- Support in processing inbound BD enquiries via the website and email inbox;
- Managing the Birmingham reception area, including welcoming clients and guests;
- Managing company correspondence for the Birmingham office, including phone calls, emails, letters and packages;
- Organising meetings, scheduling appointments and overseeing catering during company events in the Birmingham office;
- Designing office workflow and providing feedback to improve internal performance;
- Performing data entry roles, including updating records and databases for personnel, financial and legal information;
- Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations;
- Working with Facilities to ensure that all health and safety guidelines are adhered to;
- Ad-hoc duties.
Person specification
- Prior experience within a Business Development and Marketing environment is desirable, ideally working within a professional services firm;
- A minimum of five 9-4 grades at GCSE or equivalent, including grade 6 in Maths and English;
- A high attention to detail to produce work / documentation which is consistently of a high standard;
- An advanced knowledge of Word applications such as auto–numbering, bookmarks and track changes;
- Ability to co-ordinate large documents using Word;
- Familiar with MS PowerPoint, Excel, Outlook and Internet applications;
- Excellent communication skills, both written and verbal;
- Ability to prioritise workload to increase efficiency for the team;
- Shows initiative and is self-motivated;
- Able to convey clear and concise information to clients and external organisations, which will not compromise the practice or the firm.
