Events Executive

Job Purpose

This role will suit someone with strong project management skills, excellent attention to detail and who is able to manage their own workload with accuracy and a highly efficient level of time management. The role supports the firm in meeting the increasing events demand, managing client events, roundtables, conferences, sponsorships, receptions, and networking events, virtual, and hybrid events. The successful candidate will need to be an energetic, driven, and focused individual with the ability to quickly establish rapport with internal clients and stakeholders and manage internal and external relationships with event attendees and suppliers. The successful candidate will take pride in their work, enjoy working as part of a team and act as a positive brand ambassador.

The Team

This role sits within the Marketing team, led by the Head of Marketing and Chief Marketing Officer. The team is responsible for delivering consistent, timely and pro-active messaging in line with the firm’s strategic goals and growth plans. The Events Executive would report to the Marketing Manager and work closely with the Marketing Executive and Marketing Assistant.

The Marketing team work closely with the Business Development team who are responsible for unlocking client potential and supporting the firm in developing and implementing their business development initiatives.

Together the Marketing and BD team deal with a full spectrum of activities and tasks including webinars, seminars, events, conferences, sponsorships, digital marketing, PR, marketing, CSR, client development and tenders.

Duties and Responsibilities

The Events Executive will lead the planning and delivery of events across the firm, ensuring a high standard of execution and experience. The successful candidate will be confident leading event planning and will also, at times, be actively involved in the delivery and execution of on-brand marketing assets, events, and campaigns for the firm.

Some travel to events and our regional offices (Birmingham and Leeds) will be required. On occasion, there will also be times where early starts and late finishes are required for event setup and dismantling.

Responsibilities include, but are not limited to:

  • Managing the firmwide events calendar;
  • All event project management;
  • Working closely with the Marketing and Business Development team on event organisation and communication;
  • Delivering professional and seamless in-person, virtual and hybrid events on time and within budget;
  • Manage event / project timelines and communicate to the wider team the priorities for every event delivery;
  • Collate targeted mailing lists as required, ensuring we are GDPR compliant;
  • Designing, co-ordinating and distributing invitations;
  • Being creative and continually thinking of new approaches and opportunities to support growth;
  • Managing client responses and sending regular RSVP reports to internal stakeholders;
  • Feed into pre and post-event evaluation for the Business Development team to take on new opportunities;
  • Maintain content on event and other related website pages and on the internal MBD Hub;
  • Work with Marketing Executive to promote externally and communicate internally on all upcoming events;
  • Take the marketing lead with external conference/exhibition preparation;
  • Research venues for external seminars/events;
  • Carry out client, competitor, and market research and maintain awareness of the markets we operate in;
  • Monitor, analyse and report to firm on events statistics;
  • Act as a brand ambassador and ensure any event related copy is on brand and considers the brands’ Style Guide;
  • Oversee branded merchandise orders for events with Marketing Assistant;
  • Communicating internal event requirements for in person events to other support teams and managing catering orders;
  • Delegate and oversee event admin tasks to Marketing Assistant such as name badge production, monitoring events related Outlook inboxes;
  • Take an active role in exploring new initiatives, overseeing logistics and building relationships with our partner charities as part of our CSR programme.

This is not an exhaustive list and from time to time it may be necessary to vary these to meet the department and business needs.

Person Specification

  • At least 3-5 years’ experience achieved within a Marketing/BD working environment at Co-Ordinator / Executive level, preferably with events experience from a professional services background (ideally within a law firm);
  • Attention to detail to produce work which is consistently of a high standard;
  • Established stakeholder management experience;
  • Good time management skills with the ability to prioritise workload;
  • Willingness to travel to other locations and the initiative to work out of normal office hours, for the smooth delivery of events
  • Has a flexible, proactive, and can-do approach to ensure all deadlines are met;
  • Must be able to work as part of a team and possess excellent communication skills both written and verbal; and
  • Keen to learn and grow with the team.
  • Excellent IT skills; competent in Word, Excel and PowerPoint;
  • Knowledge of marketing and design tools; Foleon, Canva, InDesign, CRM databases and Email Marketing platforms.
